A freelance invoice template is a remarkable tool for small businesses and entrepreneurs. Plus, it’s super easy to make and requires little effort to maintain. This is something you use to simplify the billing process in your office. So, using one means you don’t have to type in the same information repeatedly to get your money. Instead, you can swap out a few small bits of data before sending the invoice through the proper channels.

However, if they do, make sure there’s room on the invoice for minor adjustments. After that, do these three things to make a versatile freelance invoice template that actually works: 

#1. Consider your clientele and the things they have in common.

Try to group your customers into categories based on what they pay, how often they order, or the type of projects they assign. Then, either create specialized invoices for each category or draft a flexible document that lets you itemize each assignment easily. For good measure, make sure your client doesn’t have a specific way they prefer invoices sent. 

#2. Draft a mock invoice or two for practice.

You don’t have to fall in love with the first template you make. Instead, draft a few samples and pretend to bill a handful of your clients with them. If you find snags in the design or layout, then address them at that time. This gives you the chance to see what works and what doesn’t. Also, it allows you to make minor changes without embarrassing yourself or inconveniencing your clients. 

#3. Align each invoice with your spreadsheet.

Keep in mind that templates for freelance work don’t update themselves. So, keep the flow going by adding comments and managing a spreadsheet that briefly outlines details of each project. That way, you’ll have a record to refer to if there are any discrepancies. Plus, you’ll always know what’s been billed and what’s still due to be paid.

If all else fails, try using accounting software like Quickbooks, Sage, or Zapier to simplify your billing and tracking processes further. Most programs are easy to use and intuitive for data entry. However, many also require a monthly membership fee to use the service.

Tips for making a better freelance invoice template

When writing a versatile invoice template for your freelance business, be sure to include the following details because it will help both parties: 

  • The name of your client
  • Your contact information
  • The order date, due date, and completion date
  • Taxes and/or fees charged
  • Discounts or coupons applied
  • Information about the project
  • The total due

With this approach, you’ll not only enjoy more organization around the office, but your clients will as well.
